Your organization’s email marketing strategy is arguably one of the most important elements of the entire marketing mix. In fact, 73% of marketers across all industries state that email marketing is essential to their organization’s overall success, especially when it comes to building trust and nurturing long-term audience relationships.
Successfully engaging that audience, however, requires more than just a massive contact list and a generic message. All too often, organizations fall into the trap of sending updates just to check a box or stay top-of-mind with audiences. But as you’ll learn from these email marketing essentials, an effective strategy isn’t about sending more emails; it’s about sending the right message, to the right people, at the right time.

#1: Start with Strategy
Before you write a single word of your email, you need to know exactly why you are sending the message. Every email should have a clear, specific purpose — whether that is driving event registrations, asking for donations, promoting a new service, or building a relationship with your readers.
Take the time to carefully think through the strategy behind your send. Who is the exact audience for the email? What is the single action you want them to take as a result of reading it?
If you can’t answer these questions, it may be a good idea to reconsider whether the email is worth sending at all.
#2: Segment with Intention
One of the fastest ways to see your unsubscribe numbers climb is to send every single update to your entire list. Not every email is relevant to every subscriber.
Instead, break your list down into smaller groups based on subscriber type, interests, or how they have interacted with you in the past. For example, keeping separate groups for donors, volunteers, event attendees, and general subscribers ensures that the content they get feels tailor-made for them.

#3: Focus on Value, Not Volume
When it comes to email marketing, quality matters much more than quantity. You should only send an email when the information inside is genuinely useful and timely, not just because it’s Tuesday and it “feels like time to send something.” An effective email schedule balances regular organization updates with targeted event promotions, fundraising efforts, and content specific to your different subscriber groups.
#4: Write for Clarity
In a crowded inbox, you only have a few seconds to catch someone’s eye. Start with a straightforward subject line (aim for 30-35 characters) and some meaningful preview text that makes the value of opening the email immediately obvious.
Once a reader clicks open, keep your copy concise, lead with your most important details, and make the text easy to scan. Finally, use urgent language only when the urgency is real. Otherwise, your audience will quickly tune it out, or even hit the unsubscribe button.
#5: Make the Call to Action (CTA) Obvious
Every email you send should have a clear destination. Instead of loading your email with competing requests that may confuse the reader, pick one primary Call to Action (CTA) that aligns with the goal of your email, and ensure it is easy to spot within the email (for example, via a large button at the top or bottom of the text).
The best calls to action use direct, action-oriented phrases, such as “Listen Now,” “Reserve Your Spot,” or “Support Our Work.” Don’t be afraid to experiment with different CTAs to learn which are most likely to drive your subscribers to act!
#6: Design for Mobile and Accessibility
More than 55% of your audience will likely read your email on a mobile device. If your layout isn’t built for a smaller screen, there’s a chance your message is going to get lost. Design with mobile users in mind by using short paragraphs, generous white space, and buttons that are large enough to easily tap with a thumb.
It’s also critically important to ensure everyone who receives your email can engage with your message. Always add descriptive alt text to your images so screen readers can interpret them, maintain strong color contrast, and never place essential details (like event dates, times, or locations) solely inside a graphic where a screen reader can’t find it.

#7: Grow Your List the Right Way
A small list of highly engaged subscribers will always outperform a massive list of people who don’t remember signing up. Focus on growing your email list organically by putting sign-up forms in logical places across your brand’s digital channels such as your website, donation pages, event registration forms, and social media profiles.
When people sign up, set expectations early by telling them exactly what kind of content they will receive and how often they will hear from you. More importantly, be sure to stick to those expectations, as sending too frequently or sharing irrelevant content is a surefire way to get people to unsubscribe.
#8: Maintain List Health and Measure Results
This is one of the most overlooked — but also most important — essentials for email marketing success. At least once a month, set aside time to clean up your subscriber list. Remove invalid email addresses, look at your unsubscribes, and review inactive subscribers who haven’t opened an email from you in months.
While you’re there, also be sure to carefully review your metrics and track stats such as open rates, clicks, and list growth. Look for patterns in the data to see what resonates with your audience so you can continuously improve your approach.
